BookedBack owner guide

When the estimate goes quiet, slow the follow-up down.

A practical sequence for U.S. HVAC and plumbing owners: bring an unsold estimate into view, review what is available, and choose a respectful next step—or pause.

The four-step recovery rhythm

Make the next decision clear.

A quiet estimate does not create an obligation to contact someone. Each step keeps the owner or team responsible for the judgment.

  1. 01

    Bring it into view

Start with the estimate that went quiet.

Bring the unsold-estimate opportunity back into the owner or team’s review queue. Use the record and context that actually exist; do not invent a customer need, estimate amount, reason for declining, or expected outcome.

Decision point: Is there a real opportunity your team can review?

  2. 02

    Review the context

Separate what is known from what is missing.

Read the available estimate context before choosing a channel or writing a follow-up. Look for the intended channel’s consent status and any opt-out or stop request. Missing context is a reason to slow down, not a reason to guess.

Decision point: What can the owner verify before taking a next step?

  3. 03

    Decide if it is appropriate

Make respect the gate for follow-up.

An email address, phone number, or estimate by itself is not consent. If permission is not recorded for the intended channel, or a stop request or opt-out applies, pause or leave the opportunity untouched.

Decision point: Is follow-up appropriate for this person and this channel?

  4. 04

    Choose the next step

Follow up, pause, or leave it alone.

If the owner decides follow-up is appropriate, email or SMS copy may be saved as a reviewable draft. The owner or team remains responsible for the final decision; the current product does not send messages automatically.

Decision point: What is the clearest, most respectful choice right now?

The consent-first boundary

Before choosing email or SMS, the owner checks the status for that intended channel. A phone number, email address, or estimate is not permission by itself.

  • Check consent for the intended channel before preparing follow-up.
  • Treat an email address, phone number, or estimate alone as contact information—not permission.
  • Pause or leave the opportunity untouched when an opt-out or stop request applies.
  • Keep the owner or team responsible for the final decision and any action outside the draft.

BookedBack helps keep opportunities and review context visible; it does not automatically enforce consent or opt-outs, and it does not send customer messages.

Three responsible paths

The best follow-up can be a pause.

Use the available context, respect the channel decision, and let the owner or team choose what happens next.

Follow up when appropriate

Use the available context, confirm the channel is appropriate, and save thoughtful email or SMS copy as a draft for review.

Pause for later review

Keep the opportunity visible when context or permission needs attention before anyone decides what to do next.

Leave it untouched

Do not force a follow-up when consent is absent, a stop request is present, or contact would not be respectful.

Illustrative draft only

If follow-up is appropriate, keep the words reviewable.

The sample below is intentionally generic. It is not a real customer record, an actual estimate, a testimonial, or evidence that a message was sent or an estimate was won. In the current product, copy like this can be saved as a draft for review; it is not sent automatically.

Subject: Checking in after your estimate

Hi — I wanted to check in after the estimate you received. If you would like to revisit the work, reply here and we can take another look. If you would rather not hear from us, let us know.

Owner review: confirm the channel, consent, and wording before deciding whether to keep this as a draft or leave the opportunity untouched.
